Refund & Return Policy
Effective date: May 28, 2026
This policy explains how we handle inspection, claims, returns, and refunds. Because Verdform manufactures custom and wholesale orders shipped internationally, our policy differs from standard retail returns. Please read carefully.
1. Pre-Dispatch Quality Inspection
Every order is inspected and photographed before dispatch from our facility in Yiwu, China. We retain dispatch photos and a quality-control checklist for every shipment. These records are available on request.
2. Inspection on Receipt
Upon receipt of goods, the buyer should:
- Photograph the outer cartons before opening, including any visible damage
- Inspect contents against the packing list within 7 days of delivery
- Photograph any damaged, defective, or missing items
- Notify us within 7 days of delivery with photo evidence at info@verdform.com
3. What We Cover
We will replace or credit items affected by:
- Manufacturing defects — loose leaves, color inconsistency, structural failure, missing components
- Shortage — quantity short-shipped against confirmed packing list
- Wrong items — SKU mismatch between order confirmation and shipped goods
- Transit damage — when reported within 7 days with photo evidence; subject to insurance carrier assessment for CIF/DDP orders
4. What We Do Not Cover
- Minor variations in color, leaf density, or finish — these are inherent to handcrafted artificial botanicals and do not constitute defects
- Damage caused by improper installation, misuse, or modification
- Damage from fire, water, sunlight overexposure (where UV-treated grade was not ordered), or other environmental factors
- Normal wear and tear after extended use
- Buyer’s change of mind, project cancellation, or inability to use product after delivery
- Custom/OEM products that were produced to buyer-approved specifications
5. Resolution Options
For covered claims, we typically offer one of the following at our discretion:
- Replacement — affected items replaced in your next shipment at no charge
- Credit note — value of affected items credited against a future order
- Partial refund — when replacement is impractical, refund proportional to affected value
Full refunds for entire orders are rare and considered only when products are unfit for use and replacement is not feasible.
6. Return Shipping
Given the size and weight of artificial botanicals and the cost of international return freight, we typically do not require physical return of defective items. Photo evidence is sufficient for most claims.
If return shipping is required (rare cases such as warranty inspection), we will arrange and pay for the return logistics. Do not return goods without prior written authorization — unauthorized returns may not be accepted.
7. Cancellation Policy
- Before production starts: Orders can be cancelled in full with refund of deposit, minus any incurred costs (sample production, material procurement).
- During production: Cancellation may be accepted at our discretion. Buyer is responsible for the cost of work completed and materials consumed.
- After production / before dispatch: Cancellation is generally not accepted; if accepted, goods become buyer’s responsibility for collection or resale credit.
- After dispatch: Cancellation is not possible; the order proceeds to delivery and becomes subject to the inspection/claim process above.
8. Sample Orders
Sample fees are non-refundable but are credited 100% against your first bulk order. Samples may be retained by the buyer.
9. Warranty Claims (Beyond 7 Days)
For manufacturing defects discovered after the 7-day inspection window but within the 12-month warranty period, contact us with photos and a description. We assess each case individually and provide replacement, credit, or repair as appropriate.
10. Customs & Duties Refunds
Verdform does not refund destination duties, taxes, customs clearance fees, or import-related charges. These are paid by the buyer to local authorities and refund (if any) must be obtained from those authorities directly.
11. How to File a Claim
Email info@verdform.com with subject line “Claim — [Your Order Number]” and include:
- Your order or invoice number
- SKUs affected and quantities
- Clear photos of damage or defect (outer carton + product)
- Description of the issue
- Your preferred resolution (replacement / credit / refund)
We acknowledge claims within 2 business days and aim to resolve within 14 business days.
